Every warehouse has a layer of knowledge that never made it to paper: which shelf has a broken top level, which supplier's carton holds fewer than its label says, which item arrives with two different barcodes. It lives in experienced people's heads. A newcomer repeats the same mistake; when the experienced person leaves, the knowledge leaves the warehouse.
Tying knowledge to where the work happens
A notebook or a group chat does not hold this knowledge, because it is needed at the moment of need, when the item or shelf is touched. Good practice ties the note to the thing it belongs to and puts it in front of the next person who touches that thing. An approval step is needed too: not every note is right, and notes can go stale.
Warehouse notes in iyibir WMS
- An operator leaves a note on an item, a shelf or a supplier, typed or spoken by holding the trigger. The audio is transcribed and not stored.
- The note appears as a card while running a task (shelf and item), in Order Receipt (supplier) and in AI Mode (item).
- A new note shows with an "Awaiting approval" tag for a limited time; operators can withdraw their own pending note.
- On the Warehouse notes screen of the web panel the manager sees who wrote each note, when, and what it is tied to; approved notes become permanent, rejected ones are removed.
- Item and supplier notes show in all of the company's warehouses; a shelf note shows only in that shelf's warehouse.
- Notes are WMS's own records; they are not written to Logo.
Which notes are worth leaving
- Quantity per carton, packaging that does not match the label: prevents miscounting at receipt.
- The physical state of a shelf: a broken level, a heavy-item limit, a hard-to-reach face.
- Item-specific care: a lookalike code, a second barcode, fragile packaging.
A note is not meant to keep a list of complaints; it is meant to stop the next person repeating the same mistake. Short, concrete notes tied to the thing they belong to work best.
Step by step: Leaving a note on a shelf and getting it approved
- In the mobile app, with the shelf, item or supplier the note belongs to on screen, tap Leave a note (see Tasks › Warehouse notes).
- Type the note or hold the trigger and say it; save.
- The manager approves or rejects the note on the Warehouse notes screen of the web panel.
- An approved note appears as a card for everyone who touches that shelf.
