Reporting should live inside the shipment, not beside it

In most companies UETDS reporting runs as a job separate from dispatch: the goods leave, then somebody logs into the portal and files the notification. That separation produces two things at once — forgotten filings, and disagreement between two records. As long as the notification is not part of the shipment's own record, the only way to know whether it was filed is to check somewhere else.

Where manual reporting breaks

  • The shipment leaves and the filing is forgotten under pressure; the gap surfaces much later.
  • What was typed into the portal and what is on the waybill do not agree.
  • Who filed it and when leaves no trace.
  • When the person who files is on leave, the process stops.

What happens on the WMS side

Reporting is not a separate task; it is a consequence of the dispatch transaction.

Automatic filing

Trip and shipment notifications are sent from WMS; shipment data is not entered a second time by hand.

Status on the shipment

Every shipment record carries its own notification status. "Was it filed?" is answered without looking anywhere else.

Alert on failure

If a notification does not go through, an immediate alert appears; it does not fail silently and go unnoticed.

The real risk is silent failure

In reporting systems the dangerous case is not a notification that was never filed, but one believed to be filed that never went through. That is why the result being visible matters as much as the sending: a failed notification raises an immediate alert and stays on the shipment record it belongs to.
